First, read the notice as a deadline—not a diagnosis
A non-renewal notice says that the current carrier will not continue the policy after the stated expiration date. It does not, by itself, tell you that the building is uninsurable or that every market will view it the same way.
Save the full notice, envelope or delivery record, current policy, declarations pages, and any inspection correspondence. Confirm the exact expiration date and send the notice to your licensed broker promptly. If any wording or timing is unclear, ask the carrier or broker to explain it in writing.
Build one clean starting file
Begin with the property facts: address, year built, construction type, unit count, square footage, occupancy, roof age, major electrical and plumbing updates, fire protection, and any recent inspections. Accuracy matters more than making the building sound perfect.
Add the current declarations pages and ask which currently valued loss runs the reviewing markets require. Some may ask for several policy years. Request them early, check that every year is included, and add a short factual explanation for any open or unusual claim instead of leaving a reviewer to guess.
Ask what changed and what markets fit next
Ask whether the carrier identified a property condition, loss-history concern, geographic restriction, construction issue, or broader underwriting change. That answer helps a broker decide which information to emphasize and which markets are worth approaching.
The useful question is not simply, “Who is cheapest?” It is, “Which available structure fits this building, and what trade-offs come with it?” Depending on the property and market appetite, a review may include admitted or surplus-line options and different coverage structures. Availability is property-specific.
Compare the whole replacement proposal
Confirm the named insureds, locations, limits, valuation method, deductibles, exclusions, sublimits, required protective safeguards, carrier identity, taxes and fees, and any minimum-earned premium. Check lender requirements before binding, not after.
Put every open item and deadline in one written list. A clean submission and a line-by-line comparison will not guarantee placement, but they create a much better decision process than rushing from the notice to the first number offered.
